Youth Theatre Arts Scotland (YTAS) is the national support and development organisation for Scotland’s youth theatre sector, serving a membership of over 100 organisations and practitioners across the country.
We replaced their cluttered, plugin-reliant 2015 site with a bespoke WordPress platform that included a member portal, events and resources hub, and CRM-linked membership system. We returned in 2025 to migrate that CRM and rebuild their membership infrastructure from the ground up with Beacon.

A digital home for Scotland’s youth theatre sector
Narrative YTAS came to us with a website that had outgrown itself. Built in 2015, it had become cluttered, reliant on out-of-date plugins, and non-compliant with W3C accessibility guidelines in several places — a real problem for an organisation whose main audience is the professionals and practitioners who work with young people every day, not just the young people themselves.
We built a new WordPress platform designed around clear user journeys for each of YTAS’s audiences: practitioners looking for funding, training and best practice; families searching for a local youth theatre; and cross-sector organisations after advice and support. A bespoke member portal and dashboard let practitioners manage their own membership, payments and organisation details, while custom content types gave the YTAS team an easy way to publish events, opportunities, projects and resources without duplicating effort. We linked the site to a new CRM to automate membership renewals and admin tasks that had previously been handled by hand, took a mobile-first approach throughout, and made accessibility a first-class requirement rather than an afterthought.

Evolving the platform: a CRM and membership migration for the next chapter
Four years on, YTAS’s membership had outgrown its original systems. Their CRM, ActiveCampaign, and their membership plugin, WordPress Members, could no longer offer the tiering, reporting and Stripe payment handling the organisation needed. In 2025 we returned as their ongoing development partner to lead a full migration: moving YTAS onto Beacon CRM, and replacing WordPress Members with MemberPress for more advanced membership logic and seamless Stripe integration.
The project meant auditing the existing setup across ActiveCampaign, Stripe and the website; building a full Beacon integration with member syncing and CRM-based automation; migrating and cleaning existing member data; and rebuilding every membership form and web-based automation to work with the new stack. We tested every payment flow end to end before go-live, coordinated with YTAS on the accounting implications of the switch, and trained their team on the new tools so they could manage memberships confidently themselves. We continue to host and support the site today.
